Upload, link, and manage data sources that power SleekFlow AI features

The SleekFlow AI Global knowledge base is a shared library of imported data used across all SleekFlow AI features — including AgentFlow, AI Smart Reply, and AI Writing Assistant. It ensures consistent, accurate responses by giving your AI access to the same source of truth across your workspace.
In this article, we will guide you through adding and managing data sources to your SleekFlow AI Global knowledge base.

What is the SleekFlow AI Global knowledge base?

The SleekFlow AI Global knowledge base allows you to upload, manage, and assign the documents or URLs used to power AI responses. This central hub helps ensure your agents are referencing up-to-date and relevant content — whether it’s for customer support, internal processes, or onboarding.

 

Why use the SleekFlow AI Global knowledge base?

When your AI agents are used for qualifying leads or supporting sales conversations, keeping their training materials organized and up-to-date is essential. Without a central knowledge base, you risk missing out on qualified leads or providing inconsistent responses. Here’s what the Global knowledge base helps you solve:

  • Can’t tell what your AI agent is referencing: There’s no easy way to view or manage all the training materials linked to your sales agents, which can impact lead qualification accuracy.
  • Unclear which agents are using which files: You might upload a playbook or product guide but forget to assign it to your AI — or assign it inconsistently across agents.
  • Outdated product or pricing info: Sales agents might still reference outdated responses if linked materials aren’t refreshed or replaced after changes.
  • Scattered sales materials: Instead of managing pitch decks, playbooks, and objection-handling guides across multiple folders, the Global knowledge base gives you one unified source of truth.

 

You can use the Global knowledge base to:

  • Upload sales playbooks, product catalogues, and pricing guides
  • Link product pages and FAQ content for smarter sales replies
  • Assign specific documents to agents focused on inbound qualification or deal closing
  • Check training status across all files to ensure agents are referencing up-to-date content

 

Managing your Global knowledge base

You can add and manage data sources in your Global knowledge base, and link them to SleekFlow AI features to train the AI.

 

Accessing the Global knowledge base

You can follow the steps below to access the Global knowledge base:

  1. Click on the icon on the left-sided navigation bar to go to the SleekFlow AI page
  2. On the top menu bar, click on the “Global knowledge base” tab

     
  3. You will be redirected to the "Global knowledge base” page

 

 

Add new source

You can upload a file to your Global knowledge base as data sources.

ℹ️ Note: Only text content will be extracted from uploaded files and URLs. Images, tables, and other non-text elements won’t be included in the training data.

 

 

Uploading a file as data source

 

ℹ️ Note: You can upload multiple files at once when adding new data sources. Make sure your files meet the supported format and size requirements shown on the upload screen.

 

 

You can follow the steps below to upload a file as data source to your Global knowledge base:

  1. In the "Global knowledge base” page, click on the “Add new source” button on the top right corner

     
  2. A pop-up modal will appear. Choose “File upload” to continue
     
  3. You will be redirected to the “Import file to Global knowledge base” page

     
  4. You can upload files in supported formats such as .DOCX, .PDF, .XLSX, or .JPG. Simply drag and drop your files, or select them from your device. Make sure your files meet the required format and size guidelines.
  5. Once you have reviewed the uploaded files, you will be required to link the uploaded files to SleekFlow AI features. You can choose to link the uploaded files to AI Smart Reply, AI Writing Assistant, or existing AI agents.

     

⚠️ Important: Files or URLs must be linked to at least one AI feature (e.g. Smart Reply, AI agent, or Writing Assistant) to trigger training.

Files that are uploaded without assignment will remain in your knowledge base but will not be trained or used by the AI.

 
  1. Once you have selected the AI features that your uploaded files will be linked to, click “Import” to add the data source to your Global knowledge base

 

Filtering data sources

Use the search bar or filters in the Global knowledge base to quickly locate specific materials — especially useful as your knowledge base grows.

You can:

  • Search by file name using keywords or exact titles
  • Filter by upload date to find the most recently added content
  • Filter by source type to view only URLs or specific file formats (e.g. .PDF, .DOCX)
  • Filter by “Link source to” assignment to see which sources are linked to a specific AI agent or feature

 

Monitoring uploading and training status

Once you upload a file or add a website URL, it will appear in the Global knowledge base list along with a training status label. 


This lets you track whether the data source has been successfully processed and is ready for use. 

 

Here’s a quick overview of what each training status means in the Global knowledge base:

 

Status

What it means

What you need to do

Pending

File is uploaded but not yet linked to any AI features. No training will occur.

 

Assign the file to at least one agent to begin training.

 

In progress

File is currently being trained with the assigned agent. The content isn’t available to agents until training is complete.

 

No action needed unless the status stalls for an extended time.

 

Completed

File has been successfully trained and is now available for AI features and AI agent use.

 

You’re all set — the material is now powering the linked AI features.

 

 

Failed

The file is corrupted or unreadable. The system was unable to process it after multiple retries.

 

Replace the file with a valid version and reassign if needed.

 

 

💡 Tip: You can use filters or sort by training status to quickly check which sources need your attention.

 

 

Linking data sources

You can choose to link data sources to AI features, including AI Writing Assistant, AI Smart Reply, or any existing AI agents.

To link a source:

  1. In the "Global knowledge base” page, locate the data source that you would like to link any AI features to


     
  2. In the Link source to column, click the dropdown next to the data source
  3. Select the AI feature(s) you want the source to support

 

Linked sources are actively used to train the selected AI features, ensuring that the AI can reference the most relevant and assigned content. Unlinked sources, on the other hand, remain stored in your Global knowledge base but won’t be used in any AI responses until they are linked.

 

ℹ️Note: You can link the same source to multiple AI features, depending on how the content applies.

 

 

Managing outdated data sources

As your business evolves, so will your documents and content. Here’s how to keep your Global knowledge base up to date:

Replacing existing file
 

⚠️ Note: When replacing a file, you can only upload one file at a time.

 

 

If a file’s content has changed (e.g. updated SOP, pricing guide, or policy document), you can replace it:

  1. In the “Global knowledge base” page, locate the data source that you need to replace
  2. Click on the icon next to the file
  3. Select “Replace file”
  4. You will be redirected to the “Replace file in Global knowledge base” page

     
  5. Upload the latest version of the file by dragging and dropping the file(s), or selecting from your device’s system folder
  6. Click “Import” to continue
  7. The system will retain the latest version for training and overwrite the previous one.
