SleekFlow AI Global Knowledge Base is the central place where you can add, review, and manage data sources used across AI agents and other SleekFlow AI features.
Each AI agent has its own agent-level Knowledge Base, which controls the sources it can use during conversations. You can add new sources while configuring an agent or assign existing sources from your workspace.
Use this guide to:
- Add files, indexed web pages, live web search sources, and custom answers.
- Assign relevant sources to AI agents.
- Check processing status and extraction quality.
- Review generated articles.
- Resolve processing failures and update outdated sources.
Before you begin
Before managing your Global Knowledge Base, make sure:
- You have access to the SleekFlow AI module.
- You have prepared the sources you want to add, such as files, website URLs, or custom answers.
- Your sources follow the supported format and size requirements shown in the product.
After you add a source to an agent-level Knowledge Base, SleekFlow processes it in the background. You can continue setting up or testing your AI agent while processing is still in progress.
Assign sources to an AI agent
You can assign sources from your workspace’s data sources table or from the agent’s Knowledge settings.
From the workspace’s data sources table
You can follow the steps below to access the data sources you’ve added to your SleekFlow workspace:
- Click on the
icon on the left navigation bar - Click on “Data and tools” at the top menu
- Find the source you want to assign. Use the search bar to search by name or the “All types” dropdown to filter by source type.
- Click the dropdown under “Agents” beside the source.
- Select one or more agents that should use the source.
From the agent’s Knowledge settings
You can also assign existing sources from your workspace’s Knowledge library to the agent.
- Open the agent’s “Knowledge Base” page.
- Open “Library.”
- Search for the source you want to assign, or use the “All” filter to narrow the list.
- Click “+” beside the source you want to assign.
The assigned source appears under “Assigned.”
To unassign a source, open “Assigned” and click the delete icon beside it.
How Global Knowledge Base works with agent-level Knowledge Base
Each AI agent has its own Knowledge Base that defines what knowledge it can use. The Global Knowledge Base provides a centralized view to review and manage these sources across your workspace.

Sources you add while configuring an agent are added to the global Knowledge library and assigned to that agent.
Only assign sources that are relevant to the agent’s purpose. Review assigned sources regularly for outdated, duplicated, conflicting, or unrelated information.
Add data sources

To add data sources to your workspace, in the SleekFlow AI’s Data and tools page, click “Add knowledge” at the top right corner

You can also add sources while configuring an agent:
- On the agent’s “Knowledge Base” page, click “+.”
- In the AgentFlow “Configure” step, click “Manage knowledge” and open the source-type menu.
Sources added while configuring an agent are assigned to that agent.
Upload files
Use files to provide information stored in documents, such as product guides, policies, or catalogs.
You can upload .PDF, .DOCX, .XLSX, .CSV, .JPG, .PNG, .TXT, and .MD files. Each file can be up to 50 MB, with up to 20 files per upload.
To upload files:
- Open the “Add knowledge base” menu.
- Select “Upload files”
- Drag files into the upload panel or select files from your device.
- Review the uploaded files using the guidance below.
Before importing, SleekFlow checks your files for potential extraction problems:

Review the files in these groups:
- Needs review: Files with potential extraction problems.
- Ready: Files ready to import.
- Couldn't be added: Files that failed to upload, marked “Upload failed.”
Files under Needs review and Ready are selected by default. Use “Select all” or “Deselect all” to change the selection for the flagged files.
Click “Learn more”beside a flagged file to open “Needs review.” Review the recommended fix and details about the issue:
- For a scanned PDF, check how many pages contain selectable text.
- For a spreadsheet, check how many merged ranges were found and how many sheets are affected.
A warning does not prevent import. To leave a file out, clear its checkbox. [Updated] The file remains in the list and is neither imported nor deleted.
Click “Import files” to import the selected files.
Note: Password protection and file corruption are not checked before import. These problems may cause processing to fail after import.
After processing, review the source’s status and extraction quality to confirm that the information your agent needs was imported successfully. See Check what was imported below.
Index Web Pages
Use Index Web Pages to import selected website content into Knowledge. This works well for FAQs, service descriptions, product information, and policy pages.
To index web pages:
- Open the “Add knowledge base” menu.
- Select “Index web pages”
- Enter the URL you want to scan.
- Enable “Scan all subpages under this URL” if you want to include subpages.
- Click “Scan URL.”
- Review the scan results using the guidance below.
After scanning a website, review the page counts:
- Found: Pages found during the scan.
- Ready: Pages available to import.
- Couldn't be read: Pages that could not be accessed or read.
- Left out: Links to other websites. SleekFlow only indexes pages on the domain you scanned.
Select the “Left out” count to open “Left out of this scan” and review a sample of excluded links. This list does not include every excluded link.
Pages under Ready to import are selected by default. Pages under Couldn't be read cannot be selected. Hover over a page’s reason for more details.
Clear the checkbox for any page you do not want to import. For pages that could not be read, fix the issue on your website and scan again, or continue without those pages.
A scan lists up to 1,000 pages. If the site exceeds this limit, only the first 1,000 pages found are listed.
Use the following table to understand why a page could not be read.

After reviewing the results:
- Select the pages you want to import.
- Click “Add selected.”
- Click “Save and process.”
You can use “Delete selected” to remove selected URLs from the list.
Important: Scanning a website only lists pages for review. You must add the selected URLs before their content can be processed and used by the agent.
Each imported page becomes a separate Knowledge source. Pages from the same website are not grouped together.
Live Web Search
Use Live Web Search when the agent needs to retrieve information from website content that changes frequently or is not suitable for indexing.
Live Web Search retrieves information during conversations instead of importing website content into the Knowledge Base in advance. Responses may take longer than responses based on indexed content.
To add a website:
- Open the “Add knowledge base” menu.
- Select “Live web search”
- Enter the domain or URL you want the agent to search.
- Click “Add source.”
- Review the address added to the list.
- Repeat these steps to add other websites as needed.
- Click “Save and process.”
SleekFlow checks each website address when you add it. Accessible addresses are added to the list for review. If an address cannot be added, review the reason and use the table above to troubleshoot.
You can add up to 10 web search sources per agent. The same source cannot be added twice.
Note: The agent can reference content across the website you add. You cannot include or exclude individual pages within that website.
To remove websites from the setup list, select them and delete the selected entries.
If a source becomes unreachable after it is added, review the reason beside the source and hover over it for more details.
Review assigned sources regularly and remove sources that are outdated, duplicated, conflicting, or no longer relevant.

Create custom answers
Custom answers let you define an answer for a set of related customer questions.
Use them for short, clear information such as:
- Operating hours
- Store locations
- Contact information
- Basic policies
- Frequently asked questions
Each custom answer set contains an answer and the questions associated with it. Adding question variations helps the agent recognize different ways customers may ask the same question.
To create a custom answer:
- Open the “Add knowledge base” menu.
- Select “Custom answers”
- Enter the main customer question in “Question,” such as “What are your business hours?”
- Enter other ways customers might ask the question in “Question variations.” Click “Add variation” to add another variation.
- In “Answer,” enter the response the agent should use for the question and its variations.
- Click “Add custom answer.”
- Repeat these steps to add other answer sets.
- Click “Save and process” when you finish.
After adding custom answers, you can review the sets in the list. Each set shows the number of associated training questions.
Select one or more sets to delete them if they are no longer needed.
Check what was imported
After you add a Knowledge source, check its processing status:
- Processing: SleekFlow is still reading the source.
- Active: The source has been read and the agent can use it.
- Failed: The source could not be read. Its content is not available to the agent.
An Active source can still be incomplete. For example, a PDF may import successfully while pages containing scanned images or only decorative content are skipped. The agent cannot use content from those skipped pages when answering customers.
To check a PDF for extraction gaps:
- Find the source in the source list. A small amber marker beside Active indicates that some pages had no readable text.
- Hover over the marker to check how many pages were affected.
- Open the source and review Extraction quality to check how many pages were processed and why individual pages were skipped.
Extraction quality appears only when there is an issue to report, such as skipped pages, a conversion failure, or incomplete article generation.

Skipped pages may show reasons such as:
- No extractable content: No content could be extracted from the page.
- Decorative content only: The page contained only decorative content.
Long lists include a count of additional skipped pages.
The source remains active and in use even when it has extraction gaps. The page-by-page extraction summary is available for PDF documents only.
Check whether the skipped pages contain information your agent needs. If they do, prepare a readable version of the file, delete the existing source, and upload the revised file.
If a source has Failed, review the failure reason:

Click “Retry.” If processing continues to fail, contact support. |
SleekFlow cannot distinguish a password-protected file from a corrupt one, so the failure reason may not identify the specific file problem.
Click “Retry” on a failed source to restart processing from the beginning. Files cannot be replaced in place. If you need to change a file, delete the source and upload the revised file.
If article generation does not finish for an assigned source, use the retry action in the agent’s Knowledge panel or open the source and retry from Extraction quality. Allow time for generation to complete.
Check source status and extraction quality before testing your agent. If the agent cannot answer a question, confirm that the relevant content was imported successfully before changing its playbook.
Understand how sources are processed
After you add a file or index web pages, SleekFlow processes the imported content. When you assign the source to an AI agent, SleekFlow automatically generates articles that the agent can reference during conversations.
Live Web Search works differently: the agent retrieves information from the added websites during conversations rather than importing their content in advance.
Generated articles are structured pieces of knowledge created by SleekFlow based on your sources.
Once generated articles are ready, the agent uses them to retrieve information from the processed sources.
Each generated article:
- Organizes content from one or more sources
- Breaks down information into clearer, AI-readable sections
- Helps standardize how knowledge is used across conversations
This makes it easier for you to review what knowledge has been ingested, and improves how the AI retrieves and responds with relevant information.
Source processing happens asynchronously. If a source has been added but the generated article is not ready yet, the assigned agent may still reference the source material directly. Once the article is generated, the agent will reference the generated article instead.
Manage data sources
Use All data sources to find data sources in your workspace, review their processing status, and check which agents they are assigned to.
To access your data sources:
- Go to SleekFlow AI from the left navigation bar.
- Click “Data and tools” in the top menu.
- Select “All data sources” in the left sidebar.

Find a data source
Enter the source name in “Search by data source name.” Use the “All types” dropdown to filter the list by source type.
To view sources associated with a specific agent, select the agent under “Agents” in the left sidebar.
Review source details
The data sources table shows:

Review generated articles
Generated articles show how SleekFlow has interpreted and structured knowledge from the sources assigned to an AI agent.

Generated articles show how SleekFlow has interpreted and structured knowledge from the sources assigned to an AI agent.
To generate articles, you must first assign data sources to the agent. You can assign a source using the dropdown in the Agents column on the data sources table. Once assigned, SleekFlow processes the source and generates articles automatically.
To review generated articles:
- Go to “Data and tools”
- Under “Agents” section on the left-sided panel, select the AI agent you want to review.
- Click the “Article wiki” tab.
- Review the generated articles once they are ready.
If article generation is still in progress, you will see an update panel showing:
- The number of documents being processed
- The number of queued documents
- Each queued document name
- The current generation progress
If no articles have been generated yet, the page will show No generated articles yet.
If article generation does not finish for a source, use the retry action in the agent’s Knowledge panel. You can also open the source and retry from Extraction quality. Allow time for article generation to complete after retrying.
Note:
Articles are generated automatically when you assign data sources to an agent. Add or assign documents to start generating articles.
Suggest edits to generated articles
If a generated article is inaccurate, unclear, incomplete, or outdated, you can suggest an edit.
Use suggested edits to flag knowledge that needs improvement without directly changing the generated article. Suggested edits are reviewed against the generated article’s context. If the suggestion is unrelated to the article or does not apply to its source content, it will not be accepted.
To suggest an edit:
- Go to “Data and tools”
- Under “Agents” section on the left-sided panel, select the AI agent you want to review.
- Go to the agent’s Article wiki tab.
- Open the generated article you want to review.
- Click “Suggest edit”.
- Enter your suggested changes.
- Submit the suggestion.
Review article history
Article history helps you understand how generated knowledge has changed over time.
To review article history:
- Go to “Data and tools”
- Under “Agents” section on the left-sided panel, select the AI agent you want to review.
- Go to the agent’s “Article wiki” tab.
- Open the generated article.
- Click “Version history”.
- Review the available change history.
