You can connect an external email mailbox to SleekFlow to send and receive emails directly in Inbox. This allows your team to manage email conversations alongside conversations from your other connected channels.

Currently, you can connect an Outlook or Microsoft 365 mailbox using your Microsoft account.

If you want to use an email address provided by SleekFlow instead, see our Help Center article on Set up and use your SleekFlow email address.

Before you begin

Before connecting a mailbox, make sure you have the required permissions and account access.

Requirement

Details

Access the Email page

You need the channel:view permission to view “Channels” and the Email page.

Connect a mailbox

You need the channel:connect permission to connect an email mailbox.

Microsoft account

You need a valid Microsoft 365 or Outlook mailbox that you can sign in to and authorize.

You can connect multiple mailboxes to the same SleekFlow workspace. However, the same mailbox cannot be connected to more than one SleekFlow workspace at a time.

Connect a Microsoft 365 or Outlook mailbox

You can connect your Microsoft 365 or Outlook mailbox through Microsoft authorization.

Step 1: Accessing the Email channel page

To start connecting your mailbox:

  1. Click on the icon on the left navigation bar to go to the “Channels” page
  2. In the left-sided panel, click “Email”
  3. You will be redirected to the “Email channel” page

Step 2: Connect your Microsoft 365 or Outlook mailbox

On the “Email channel” page:

  1. Click “Connect” in the top-right corner.
  2. In the “Connect email account” dialog, select “Outlook / Microsoft 365”.

The Microsoft authorization process will start immediately. You will be redirected to Microsoft in the same browser tab to continue the connection process.

Step 3: Authorize your Microsoft account

On the Microsoft authorization page:

  1. Sign in to the Microsoft account for the mailbox you want to connect.
  2. Review the requested permissions.
  3. Grant SleekFlow access to the account.

After authorization is complete, you will be redirected to SleekFlow. The “Connect Outlook” dialog will confirm that your email account is connected and display the connected email address.

You can then choose whether to import your existing email history.

Step 4: Import your email history

After your email account is connected, you can choose whether to import your existing emails into SleekFlow.

SleekFlow can import up to the 10,000 most recent emails from your mailbox, including supported email content and attachments. This limit only applies to the initial history import. New incoming emails will continue to sync automatically after your mailbox is connected.

To import your email history, click “Start import”. The import starts automatically and runs in the background, so you can continue using SleekFlow while your emails are imported.

If you close the “Connect Outlook” dialog without starting the import, your past emails will not be imported. New incoming emails will still sync automatically.

You can only choose to import email history from this screen immediately after connecting the mailbox. To import past emails later, you need to disconnect and re-authorize the email account. Re-importing the same mailbox will not duplicate emails that already exist in SleekFlow.

Track your email history import

If you start an email history import, you can track its progress under the connected mailbox on the “Email channel” page.

While the import is running:

  • The mailbox shows the “Syncing” status.
  • A progress bar shows “Importing email history…” and the number of emails processed.
  • A message confirms that you can continue using SleekFlow while the import runs.

The time required to complete the import depends on the number of emails and the size of their attachments.

When the import is complete, SleekFlow shows the number of emails imported. If there are no emails to import, you will see “No emails to import”.

Some unsupported emails may be skipped during the import. If this happens, the completion message shows the number of skipped emails.

If your email history import fails

If SleekFlow cannot complete the import, the mailbox shows the “Import failed” status. The import progress area displays the failure reason and the number of emails that have not yet been imported.

You can click “Retry import” to continue the import or “View details” to review more information about the failure.

When you retry, SleekFlow resumes from the last successfully imported email. Emails already imported into SleekFlow are not duplicated.
