Troubleshoot Email sync and import issues

Resolve failed email history imports and troubleshoot emails that do not appear in SleekFlow.

After you connect an email account, SleekFlow syncs new emails to Inbox. You can also choose to import recent email history during the initial connection process.

This article explains how to:

  • Identify whether an issue affects email history import or new email sync
  • Retry a failed email history import
  • Review import failure details
  • Understand what happens after reconnecting an account
  • Troubleshoot new emails that do not appear in Inbox

Note: This article applies to Outlook / Microsoft 365 accounts connected through OAuth. It does not apply to SleekFlow Email.

 

 

Identify the issue

Email history import and new email sync are separate processes:

  • Email history import imports recent emails when you first connect the account.
  • New email sync continuously syncs emails received after the account is connected.

An email history import can fail while new emails continue to sync. Similarly, an account connection issue can stop new email sync even if the history import completed successfully.

To check the affected account:

  1. Click the icon in the left navigation bar to go to the “Channels” page
  2. Select “Email” from the left panel to go to the “Email” channel page
  3. Find the account under “Connected accounts”.
  4. Review the status and any message shown below the account row.

Use the following table to identify what to do next:

“Import failed” with “Retry import”

The email history import failed, but the account connection is still valid.

Click “Retry import”.

“Import failed” with reconnection guidance

The import failed and SleekFlow can no longer access the account.

Reconnect the account, then retry the import if available.

“Reconnect required”

The account authorization has expired, been revoked, or is no longer valid.

Reconnect the account.

“Connected”, but new emails are missing

The account appears connected, but new email sync may be delayed or interrupted.

Send a test email and contact SleekFlow support if it does not appear.

“Syncing”

The email history import is still running.

No troubleshooting action is required yet.

Resolve a failed email history import

Email history import is the one-time process that imports recent emails from your email account when you first connect the account to SleekFlow.

If the import fails, the account shows “Import failed” with a panel containing the failure reason, the number of emails not yet imported, and the available next action.

The action available depends on the failure type and account connection.

 

Retry the import

You can retry the import when:

  • The account is still connected
  • “Retry import” appears in the failure panel

 

To retry the import:

  1. Click the icon in the left navigation bar to go to the “Channels” page
  2. Select “Email” from the left panel to go to the “Email” channel page
  3. Find the account with the “Import failed” status.
  4. Review the failure reason.
  5. Click “Retry import”.

The account returns to “Syncing” while SleekFlow retries the import.

SleekFlow continues from the last successfully imported email. Emails that were already imported are skipped and are not duplicated in Inbox.

Note: Retrying re-attempts the original email history import. It does not start a separate import containing only emails received since the previous attempt.

 

 

Reconnect before retrying

If SleekFlow can no longer access the account, “Retry import” is not shown in the failure panel. Instead, the panel asks you to reconnect the account.

Reconnect the account by following the steps in “Manage connected Email channels”. After reconnecting, return to “Channels” > “Email” and click “Retry import” if the option becomes available.

 

Review email history import failure details

You can open the failure details to review more information about an unsuccessful import.

To view the details:

  1. Click the icon in the left navigation bar to go to the “Channels” page
  2. Select “Email” from the left panel to go to the “Email” channel page
  3. Find the account with the “Import failed” status.
  4. Click “View details”.

The “Import failure details” dialog may include:

Common email history import issues

Issue

What happens

What to do

Account authorization expired or revoked

SleekFlow can no longer access the account.

Reconnect the account, then click “Retry import” if available.

Provider rate limit or temporary service issue

Microsoft temporarily prevents SleekFlow from retrieving emails.

Wait for the automatic retry attempts to finish, then click “Retry import” if the import fails.

Temporary network issue

A network interruption prevents SleekFlow from retrieving some emails.

Click “Retry import” if the import fails.

Temporary SleekFlow processing issue

SleekFlow cannot temporarily process or save imported emails.

Click “Retry import”. Contact SleekFlow support if the import fails again.

Unsupported email

The email uses a format or encoding that SleekFlow cannot import.

No action is required. Other supported emails can still be imported.

Email deleted during import

The email was removed from the provider account before SleekFlow could import it.

No action is required. SleekFlow continues importing the remaining emails.

Unknown error

SleekFlow cannot identify a specific cause.

Open “View details”, then retry the import or contact SleekFlow support.

Unsupported or deleted emails do not normally cause the entire import to fail.

 

Understand automatic retry behavior

SleekFlow automatically retries some temporary email history import issues before showing “Import failed”.

You do not need to take action while the account shows “Syncing”.

If the automatic retry attempts are unsuccessful, follow the action shown in the failure panel.

 

Understand what happens after reconnecting

Reconnecting restores SleekFlow’s access to the email account so new emails can resume syncing. However, it does not automatically import emails received while the account was inaccessible.

What happens next depends on the previous email history import state.

New email sync resumes. Emails received while the account was inaccessible are not automatically imported.

You chose not to import email history

New email sync resumes. The email history import option is not shown again.

The “Start syncing” option is only available during the initial account connection process.

Reconnecting or retrying an import also does not overwrite changes made in SleekFlow to emails that were already imported, including:

  • Read or unread state
  • Assignee
  • Conversation status

Provider labels and folders are not imported as SleekFlow conversation data.

 

Troubleshoot new emails that are not syncing

The email history import panel only shows issues related to the one-time history import. It does not display individual failures for new incoming emails.

If new emails do not appear in SleekFlow:

  1. Click the icon in the left navigation bar to go to the “Channels” page
  2. Select “Email” from the left panel to go to the “Email” channel page
  3. Check the account status.
  4. If the account shows “Reconnect required”, reconnect it by following “Manage connected Email channels”.
  5. After the account shows “Connected”, send a test email to the account.
  6. Check whether the test email appears in Inbox.

Temporary new email sync issues are retried automatically.
