The “Incoming email received trigger” starts a flow when SleekFlow receives a new inbound email through a selected Email channel. Use this trigger to automate acknowledgements, route email enquiries, and start follow-up workflows.
This is a dedicated Email trigger. It is separate from the Incoming Message Received trigger used for messaging channels.
Before setting up this trigger, make sure your workspace has at least one connected and available Email account. Learn more about connecting an Email account to SleekFlow in our Help Center article.
Incoming email received
The Incoming email received trigger activates when a new inbound email is synchronized from the selected Email account to SleekFlow. Only Email channels can be selected.
Common use cases include:
- Acknowledge new enquiries: Send an automatic acknowledgement after a customer emails your support or sales mailbox.
- Route email enquiries: Assign the contact or conversation, add a label, or notify the relevant team when an email arrives.
- Notify your team: Alert team members when an important mailbox receives a new email.
- Start a follow-up workflow: Add actions that help your team manage and follow up on the enquiry.
Set up the “Incoming email received” trigger node
Follow these steps to configure the trigger node:
- In Advanced Flow Builder, create a new flow or open an existing flow that you can edit.
- Open the trigger selection panel and select “Incoming email received”.
- Click the trigger node to open its configuration panel on the right side of the screen.
- The node form contains the following fields for you to set up the trigger:
- In Email channel, select the connected Email account that the flow should monitor.
- Add the actions that should run after an inbound email is received. For example, you can configure the flow to assign the enquiry, add a label, notify a team member, or update a Contact property.
- Complete the rest of the flow, then publish it.
After the flow is published, new eligible inbound emails received through the selected Email account can start the flow. You can review each execution in the Flow Builder execution logs.
How historical emails are handled
When you first connect an Email account, SleekFlow may import up to the latest 10,000 historical emails. These imported emails are treated as backfilled records and do not:
- Start the Incoming email received trigger
- Enroll contacts into a flow
- Send automated replies
Only new inbound emails received after the account is connected and the flow is published are eligible to start the flow.
Note: Email synchronization between your email provider and SleekFlow may take up to one minute.
If the selected Email account becomes unavailable
Only connected and available Email accounts can be selected when you configure the trigger. Disconnected, expired, authorization-required, or deleted Email accounts are not available for selection.
If the selected account later becomes disconnected or unavailable, new emails from that account cannot start the flow until synchronization resumes. Reconnect or reauthorize the Email account to continue using it with the flow.
