Add Knowledge sources to give your AI agents information about your business, such as product details, policies, service descriptions, and FAQs.

You can add sources to your workspace Library for agents to use later, or add them directly while configuring an agent. For example, a support agent might use an uploaded product manual, your online return policy, and custom answers containing your contact details.

Before you begin

Make sure you have:

  • Access to the SleekFlow AI module.
  • The files, website addresses, or approved answers you want to add.
  • Accurate information relevant to your agent’s role.

If you are new to Knowledge Base, read how your workspace Library and agent Knowledge Base work together.

Choose a Knowledge source type

Choose a source type based on where your information is stored and how the agent should access it. You can combine source types to cover different customer questions.

Source type

When to use it

Example

Files

Your information is stored in documents, spreadsheets, or other supported files.

Upload a product catalog or troubleshooting manual.

Indexed web pages

You want to import content from selected website pages into Knowledge.

Import shipping policies or service descriptions.

Live web search

You want the agent to retrieve website information during conversations.

Search a selected website for information that changes frequently.

Custom answers

You want to provide an approved answer to a common question and its variations.

Define your business hours or contact details.

Indexed web pages or live web search?

Both options provide website information, but they work differently:

  • Indexed web pages import selected page content into Knowledge.
  • Live web search retrieves website information during conversations instead of importing it in advance.

For example, you could index a published service guide and use live web search for frequently changing information on another website.

Live web search responses may take longer than responses based on indexed content.

Where to add knowledge sources

You can add knowledge sources in three places. Every source you add is saved to your workspace, so you can use it with more than one AI agent.

  • Data and tools page: add sources now and assign them to agents later.
  • AgentFlow Configure step: add a source while you set up an agent.

From the Data and tools page

Use this option to build a shared set of sources that any agent can use.

  1. Click the  icon in the left navigation bar.
  2. Click "Data and tools" in the top menu.
  3. Click "Add knowledge" at the top right.
  4. Select a source type: "Upload files", "Index web pages", "Custom answers" or "Live web search".

The source appears in the data sources table on the "Data and tools" page. To use it, assign it to an AI agent.

From an agent set up with conversational setup

Use this option if your agent's page shows the "Setup Copilot" chat.

  1. Click the  icon in the left navigation bar.
  2. Click "AgentFlow" in the top menu.
  3. Click the AI agent you want to add sources to.
  4. Click the "Knowledge" card.
  5. On the "Knowledge Base" page, click + next to the "Assigned" and "Library" tabs.
  6. Select the source type you want to add.

The source is assigned to that agent and added to the "Data and tools" page.

Note: "Setup Copilot" can add web pages and custom Q&A from the chat. To upload files, use the steps above.

Upload files

Use files to provide information your business already maintains in documents, such as product guides, policies, catalogs, or reference spreadsheets.

Supported file type and limitations:

  • Supported file formats: .PDF, .DOCX, .XLSX, .CSV, .JPG, .PNG, .TXT, and .MD
  • Maximum file size: 50 MB per file
  • Maximum files per upload: 20

Step 1: Select your files

  1. Open the "Add knowledge base" menu.
  2. Select “Upload files”.
  3. Drag files into the upload panel or select files from your device.
  4. Review the uploaded files before importing.

SleekFlow checks the files for potential problems that could affect how their information is read.

Step 2: Review upload results

The upload panel groups files by whether they need attention:

Label

What it means

Needs review

Files with potential extraction problems.

Ready

Files ready to import. They have not been imported yet.

Couldn't be added

Files that failed to upload, marked Upload failed.

Files under Needs review and Ready are selected by default. Use Select all or Deselect all to change the selection for flagged files.

Step 3: Check file warnings

Click Learn more beside a flagged file to open Needs review. Review the issue and recommended fix before deciding whether to import it.

Warning

What it means

What to do

Scanned PDF

Only readable text is extracted. Text stored in images, such as scanned pages or screenshots, may not be extracted completely. The agent cannot interpret visual information in charts, graphs, or maps.

Upload the original document with selectable text, or use optical character recognition (OCR) to convert scanned text into selectable text. Add written descriptions of visual information the agent needs.

Merged-cell layout

Merged cells may cause spreadsheet data to be lost during extraction.

Unmerge the cells so each row contains one record, with one value per column.

The review provides more detail about the affected file:

  • Scanned PDF: Check how many pages contain selectable text.
  • Spreadsheet: Check how many merged ranges were found and how many sheets are affected.

For example, if a troubleshooting manual includes instructions only in a screenshot, provide those instructions as readable text so the agent has the information it needs.

Step 4: Import selected files

A warning does not prevent import. Decide whether the flagged content needs to be corrected before continuing.

  1. Clear the checkbox for any file you want to leave out. The file stays in the list and is neither imported nor deleted.
  2. Click “Import files” to import the selected files.

Note: Password protection and file corruption are not checked before import. These problems may cause processing to fail after import.

After importing, check the source status and extraction quality to confirm that important information was read successfully.

Index web pages

Use Index web pages to import selected website content into Knowledge. This works well for FAQs, service descriptions, product information, and policies.

For example, you can scan your Help Center and select the articles relevant to your support agent.

Step 1: Scan a website

  1. Open the "Add knowledge base" menu.

  2. Select Index web pages.
  3. Enter the URL you want to scan.
  4. Enable Scan all subpages under this URL if you want to include subpages.
  5. Click Scan URL.

Scanning finds pages for review. You must add the selected URLs before their content can be processed and used by the agent.

Step 2: Review scan results

After scanning, review the page counts:

Count

What it means

Found

Pages found during the scan.

Ready

Pages available to import.

Couldn't be read

Pages that could not be accessed or read.

Left out

Links to other websites. SleekFlow only indexes pages on the domain you scanned.

Pages available to import are selected by default. Clear the checkbox for any page you do not want to include.

For example, you may want to include product and policy pages while leaving out content unrelated to the agent’s role.

Pages under “Couldn't be read” cannot be selected. Hover over a page’s reason for more details. Fix the issue on your website and scan again, or continue without those pages.

Note: A scan lists up to 1,000 pages. If the site exceeds this limit, only the first 1,000 pages found are listed.

Step 3: Add the selected pages

  1. Select the pages you want to import.
  2. Click “Add selected”.
  3. Click “Save and process”.

Use “Delete selected” to remove selected URLs from the setup list.

Each imported page becomes a separate Knowledge source. Pages from the same website are not grouped together.

Live web search

Use Live web search when the agent needs to retrieve information from website content during conversations, especially when that information changes frequently or is not suitable for indexing.

Step 1: Add a website

  1. Open the "Add knowledge base" menu.

  2. Select Live web search.
  3. Enter the domain or URL you want the agent to search.
  4. Click “Add source”.
  5. Review the address added to the list.
  6. Repeat these steps to add other websites as needed.
  7. Click “Save and process”.

SleekFlow checks each address when you add it. Accessible addresses are added to the list for review. If an address cannot be added, review its reason and see Troubleshoot issues when adding sources.

Step 2: Review limits and website scope

  • You can add up to 10 web search sources per agent.
  • The same source cannot be added twice.
  • The agent can reference content across the website you add. You cannot include or exclude individual pages within that website.

To remove websites from the setup list before saving, select them and delete the selected entries.

If a source becomes unreachable after it is added, review the reason beside the source and hover over it for more details.

Create custom answers

Custom answers let you provide an approved answer for a set of related customer questions.

Use them for short, clear information such as:

  • Operating hours
  • Store locations
  • Contact information
  • Basic policies
  • Frequently asked questions

Each custom answer set contains an answer and its associated questions. Question variations help the agent recognize different ways customers may ask for the same information.

Example: Business hours

Field

Example

Question

What are your business hours?

Question variations

When do you open? / Are you open on weekends?

Answer

We are open Monday through Saturday, from 9 AM to 6 PM. We are closed on Sundays.

Step 1: Add a custom answer

  1. Open the “Add knowledge base” menu.

  2. Select “Custom answers”.
  3. Enter the main customer question in “Question”.
  4. Enter other ways customers might ask it in “Question variations”. Click “Add variation” to add another variation.
  5. In “Answer”, enter the response the agent should use for the question and its variations.
  6. Click “Add custom answer”.
  7. Repeat these steps to create other answer sets.
  8. Click “Save and process” when you finish.

After adding custom answers, review the sets in the list. Each set shows the number of associated training questions.

Select one or more sets to delete them if they are no longer needed.

Troubleshoot issues when adding sources

If you cannot add the information you need, start with the guidance for your source type below.

This section covers uploading, selecting, and saving sources. For problems after a source has been saved, such as missing extracted content or incomplete article generation, see Check what was imported.

Files

Issue

What to check or do

A file shows Upload failed

Check that it uses a supported format and is no larger than 50 MB. You can upload up to 20 files at a time.

A PDF shows a scanned-content warning

Click Learn more to review how many pages contain selectable text. Use a readable original or OCR if important text is stored in images.

A spreadsheet shows a merged-cell warning

Review the affected sheets and merged ranges. Unmerge cells so each row contains one record, with one value per column.

You want to leave out a flagged file

Clear its checkbox before clicking Import files. The file stays in the list but is not imported.

A file fails after import

Password protection or corruption may be responsible, even if no warning appeared before import. Review the source’s failure reason using Check what was imported.

Indexed web pages

Issue

What to check or do

A page appears under Couldn't be read

Hover over its reason. Use the website access error table below, then fix the issue and scan again or continue without the page.

A link appears under Left out

Check whether it points to another website. SleekFlow only indexes pages on the domain you scanned.

The scan does not list every page on a large website

A scan lists up to 1,000 pages. Only the first 1,000 pages found are listed.

You scanned the website but have not imported its content

Select the pages, click Add selected, then click Save and process. Scanning alone does not import content.

Live web search

Issue

What to check or do

A website address cannot be added

Review the reason shown beside the address and use the website access error table below.

You are adding a source already in the list

Review the existing entries. The same source cannot be added twice.

You have reached the source limit

Each agent can have up to 10 web search sources. Review whether existing sources are still needed before adding another.

You added addresses to the setup list but have not saved them

Review the list, then click Save and process.

A saved source becomes unreachable

Review the reason beside the source and hover over it for more details.

Website access errors

These reasons apply when scanning indexed web pages or adding live web search addresses.

Reason

What it means or what to do

Invalid URL

Check the URL format and try again.

Not found

The page could not be found. Check the URL and try again.

Unreachable

The website could not be reached. Check the address and try again.

Timed out

The website took too long to respond. Try again later.

Blocked

The website blocks automated access and cannot be indexed.

Site error

The website returned an error. Try again later.

Can't access

The URL cannot be accessed.

Error

An unexpected problem occurred. Try again later.

Custom answers

When creating custom answers, make sure you complete both steps:

  1. Click Add custom answer to add each question-and-answer set to the list.
  2. Click Save and process after you finish adding your sets.

Before saving, review each answer for accuracy. Keep question variations focused on the same question so the associated answer applies to all of them.

For example, “When do you open?” and “What are your opening hours?” can share an answer. A question about parking may need a separate answer set.

Next steps

After adding your sources:

  1. Assign them to the relevant agent. If you added sources while configuring an agent, they are already assigned. Otherwise, follow Assign sources to an AI agent.
  2. Review the imported information. Check source status and extraction quality for warnings, missing content, or sources that could not be added.
  3. Test realistic customer questions. Use Test and deploy your AI agent to check whether the agent can answer using the information you provided.
