You can create new contacts from the "Contacts" main page, or import contacts through .CSV or .XLSX files.
Manual contact creation
To manually create a contact, you can
- Go to the "Contacts" main page
- Click "Create new contact" in the upper right side of the screen

- Fill in the contact’s details. You need to enter at least a phone number or an email address. All other fields are optional.
- Click "Create" on the top right of the screen
💡 Only one contact can be created at a time through manual creation
Importing contacts
Use an import to add or update many contacts at once from a .CSV or .XLSX file. Before you start, prepare your file using the rules below. Most import problems come from the file.
Prepare your import file
Get the sample file
- On the “Contacts” page, click “More actions”, then click “Import contacts”.
- In the “Prepare your file for import” step, under “Get your file ready”, click “sample .CSV” or “.XLSX file” to download the sample file.

- Delete the filled-in example row. Otherwise it’s imported as a real contact.
- Keep the first row (the column headers) exactly as it is. SleekFlow matches columns by header name.
- If you need a column that isn’t in the sample, create it in “Contact properties” first, then download the sample again.
Fill in your file
Every row needs a phone number or an email address. Rows with neither are skipped. All other columns are optional.
Column |
What to enter |
Example |
Phone number |
Include the country code. Spaces, dashes and + are fine. |
+852 9123-4567 or 85291234567 |
Labels |
One or more labels, separated by semicolons |
VIP;Lead;Expo 2026 |
Contact owner |
The email address of one teammate in your workspace |
alex@company.com |
Collaborators |
Teammates’ email addresses, separated by semicolons |
alex@company.com;sam@company.com |
All other properties, including dropdowns |
One value per cell |
Note: Use semicolons, not commas, to separate several values in one cell.
Before you upload, keep in mind:
- Missing country code: SleekFlow tries your workspace’s country code. If the number still isn’t valid, the row fails.
- Teammate names: Display names also work for “Contact owner” and “Collaborators”, but email addresses are more reliable. A teammate who can’t be matched causes an error.
- Unmatched columns: Columns that don’t match a contact property aren’t imported. The “Match contact property columns” step flags them so you can fix them first.
- Duplicate rows: If the same phone number or email address appears more than once, only the first row is imported.
Import your file
- After you have prepared your file, go back to the “Import contacts” page
- In “Upload your file”, drag your file into the upload area or click to upload it. SleekFlow shows how many contacts will be added and how many will be updated. Click “Next”.
- In “Match contact property columns”, check that each column in your file is matched to the right property in SleekFlow. Contacts already in SleekFlow are updated, not duplicated. SleekFlow finds them by contact ID, phone number or email. These columns are set to “Content mapping” and can’t be changed.

- Then use the “Action” dropdown to choose what happens to contacts already in SleekFlow:
Action |
What it does |
“Overwrite” |
Replaces the existing value with the value in your file. |
“Update blank only” |
Adds the value only if the contact doesn’t already have one. |
“Add appendix” |
Labels: adds the labels in your file to the existing labels. Single-line text: adds the value after the existing one, separated by a semicolon. For example, “Hong Kong” plus “Expo” becomes “Hong Kong;Expo”. |
“Add collaborator” |
Adds the teammates in your file as collaborators, keeping existing ones. Collaborators column only. |
“Remove collaborator” |
Removes the teammates in your file from the contact’s collaborators. Collaborators column only. |
- Warning: With “Overwrite”, an empty cell clears the existing value for contacts already in SleekFlow. To leave a property unchanged, delete that column from your file. With every other action, empty cells are skipped.
- When you’re done, click “Next”.
- In “Define import”, under “Select import type”, choose “As individual contacts”, or choose “Add to list(s)” to also add the contacts to a new or existing list.

- Optional: turn on “Trigger existing automation rules when updating contacts”. The imported contacts then count as “Newly added contacts” or “New or updated contacts”, so automation rules that use those triggers run.
- Click “Complete”.
- In the “Confirm import?” dialog, select the checkbox to confirm that your contacts expect to hear from your company, then click “Confirm”.
- Your import progress will be displayed at the bottom left of the screen
Troubleshooting
If your import doesn’t work as expected, check the common causes below.
Problem |
Likely cause |
Fix |
Phone number not recognized |
The country code is missing |
Add the country code to the number |
Fewer contacts imported than are in the file |
Some rows have no phone number or email, some rows are duplicates, or you’ve reached your contact limit |
Check those rows, or your available contacts |
Labels or collaborators not applied |
Values are separated with commas, or a teammate couldn’t be matched |
Use semicolons, and teammates’ email addresses |
“Unable to upload file” |
The file isn’t a .CSV or .XLSX |
Save the file as .CSV or .XLSX and upload it again |
Existing values cleared |
“Overwrite” was used with empty cells |
Remove columns you don’t want to update before importing |
