Assign sources from your workspace Library to give each AI agent the information it needs for its role. You can assign the same source to multiple agents without uploading separate copies.

For example, your sales and support agents can share store information, while only your support agent uses troubleshooting guides.

Before you begin

Make sure you have:

  • Access to the SleekFlow AI module.
  • An existing AI agent.
  • Sources in your workspace Library.

If you need to add information first, see Add data sources.

Sources added while configuring an agent are added to the workspace Library and assigned to that agent automatically.

Find sources in your AI Global knowledge base

Use “All data sources” to find sources across your workspace and check which agents they are assigned to.

  1. Click on the icon on the side
  2. Click “Data and tools” in the top menu
    .
  3. Select “All data sources” in the left sidebar.

You can search for a data source by its name in the search bar, use the “All types” dropdown to filter by source type.

To view sources assigned to a particular agent, select the agent under ‘Agents” in the left sidebar.

Review source details

Before assigning a source, check that it is relevant to the agent’s role. The table provides the following information:

Column

What it shows

Source name

The source’s name and its URL or file reference.

Type

The source type, such as Web Link or File.

Agents

The agents or AI features the source is assigned to.

Status

Whether the source is available for agents to use.

Last updated

When the source was last updated.

Open a source to review its details. For help understanding its status or reviewing imported content, see Check what was imported.

Assign sources from AI Global knowledge base

Use All data sources when you want to assign an existing source to one or more agents.

  1. Click on the icon on the side
  2. Click “Data and tools” in the top menu
    .
  3. Select “All data sources” in the left sidebar.
  4. Find the source you want to assign.
  5. Click the dropdown in the Agents column beside the source.

  6. Select the agents that should use it.

For example, select both your sales agent and support agent to let them use the same store information.

Assign sources from an agent’s Knowledge Base

You can also choose sources while configuring a particular agent.

Go to SleekFlow AI, select the agent you want to configure, and open its Knowledge Base page.

The page has two tabs:

  • Library: Sources in your workspace Library.
  • Assigned: Sources assigned to this agent.

Each tab shows a source count in brackets. For example, Library (24) means your workspace Library contains 24 sources. The Assigned count shows how many sources are assigned to the current agent.

Assign sources

  1. Open “Library”.
  2. Search for the sources you want to assign, or use the All filter to narrow the list.
  3. Assign sources using either method:
    • One source: Click + beside the source.
    • Several sources: Select their checkboxes, then click Assign in the table header row. The header shows the selected count and Deselect, which clears your selection.

The assigned sources appear under Assigned.

Remove sources from an agent’s Knowledge Base

Remove a source when the agent no longer needs it. For example, you might remove a troubleshooting guide from your sales agent while keeping it assigned to your support agent.

Removing a source affects only the selected agent. The source stays in your workspace Library and remains assigned to any other agents that use it.

Note: Removing a source from an agent does not delete it from your workspace.

You can remove sources from either location:

  • The agent’s Knowledge Base page.
  • Manage knowledge in the AgentFlow Configure step.

Both locations use the following workflow:

Remove sources

  1. Open “Assigned”.
  2. Remove sources using either method:
    • One source: Click the trash icon beside the source, then click “Remove” to confirm.
    • Several sources: Select their checkboxes, then click “Remove” above the list. Review the confirmation explaining that the sources will stay in your workspace Library, then click “Remove” again to confirm.

Click “Cancel” at the confirmation step if you do not want to proceed.

When selecting several sources, the number selected appears above the list. Use the checkbox at the top of the list to select all sources, or click “Deselect” to clear your selection.

If a source could not be added to the agent, you can also open the source and click “Remove”.

Wait for removal to finish

A source stays under “Assigned” while removal is in progress. Its checkbox and remove action are unavailable during this time.

A line above the list shows how many sources are being removed and explains that:

  • The agent may still use these sources until removal finishes.
  • Removal usually takes up to 10 minutes.

Open a source to review its removal information.

When removal finishes, the source leaves “Assigned” and remains in “Library”.

Note: If a test reply still references a source after you click “”Remove”, check whether removal is still in progress. Wait until the source leaves “Assigned”, then test again.

Best practices on keeping data sources relevant to each agent

Review assigned sources when an agent’s responsibilities or your business information changes.

Check for:

  • Outdated sources: Older policies, catalogs, or service guides.
  • Conflicting sources: Information that gives different answers to the same question.
  • Duplicate sources: Multiple sources covering the same material unnecessarily.
  • Unrelated sources: Information outside the agent’s role.

For example, if your return policy changes, check whether your support agent still has an older version assigned. Removing that version from one agent keeps it in the workspace Library, so also check whether other agents use it.
